Business Accountz is a simple, straightforward accounting application where you can send invoices, manage payments, track your customers, and submit directly to HMRC. This is a desktop accounting system where all your data is saved to your computer.
A UK-based company established in 1999, Accountz is meant for UK small businesses as the bookkeeping software integrates directly with the UK’s Revenue and Customs body. Business Accountz comes in three different plan types. The Startup Kit is the cheapest, then the Startup Kit VAT plan, and the Business Suite is the most comprehensive in terms of features. The main difference between the Startup plan and the other two plans is you can't submit online to HMRC with the Startup, or add multi-currency, cost centers, stock control or inventory features to both the Startup plans. It’s suitable for Mac, Windows, or Linux. Business Accountz has a free 14-day trial option.
Customize an invoice with your choice of logo, footer, and terms. You can set up different invoice templates for different business areas, or different clients, making it quicker to send invoices to regulars as the only thing you have to enter is the final amount (although this recurring invoice feature is not found in the cheapest Business Accountz plan.)
You can print invoices or email them direct to the client from the program. Similarly, you can customize your estimates with the same features. Once the estimate has been approved you quickly convert it to a sales invoice without having to reenter any data. It is also possible to view a complete history of your sales, statements, invoices, and quotes so you can see at a glance how much you are owed, and when money is due to come in.
Multiple currencies are allowed in the Business Suite package.
Within the accounts package there are quick links to filling out details about expense purchases. Expenses features are not specifically included, and there’s no automatic data feed from your bank to your accounts, which slows down the process of getting your expenses sorted out.
Time tracking is not available with Business Accountz.
Among the regular reporting procedures, Business Accountz allows you to file your VAT returns direct to HMRC – you view a ready-to-send document then either submit direct online, print the report as a PDF or export the data into a spreadsheet.
Other reporting options include nominal ledger, profit and loss, trial balance and balance sheet, and aged debtors and creditors.
Or you can build your own reports from scratch, saving them as templates to run again when needed. You can export to CSV, which is a little limited but still useful.
Unfortunately there is no online accounting element – this is a purely desktop program (although you can back up data to the cloud.) A cloud-based element to accounting software is useful if you are used to taking your business on the road and need to update your accounts even when you’re not in front of your desktop computer.
Business Accountz is not integrated with many third-party add-ons, although you can integrate Accountz product management tools, inventory management, budgeting and forecasting, cost centers (which is a feature to analyze profit and loss for specific projects) and payroll tools, and the diary and event management system is useful.
If you want to share data with your accountant they will need to have Business Accountz installed on their own computer in order to see your data, which is more inconvenient than using a purely cloud-based system.
Business Accountz features an interface called Easy Steps that promises to make light work of everyday accounting tasks by simplifying them down into easy separate steps. We think the Easy Steps system works particularly well. Click on the Sales tab when you sell something and you are directed to all the info you need to fill in. When you buy something, click on the Purchase table. You don’t need to worry about any features that you don’t use, and it’s easy to find the tasks you are looking for as they are all displayed on one main page. The Rapid Data Entry system also promises to speed up the process of inputting data into your accounts system.
While the Business Accountz program is a double-entry bookkeeping system, you don’t necessarily have to understand what this is, or even realize the process is taking place – the program automatically places the specified figures in the two columns from the two accounts.
In general, the Business Accountz system is easy to use even while it looks a little sparse, and not as sophisticated as other software options.
Basic free support comes in the form of regularly updated forums that are populated by other business users as well as qualified bookkeepers from the Accountz support staff team. If you want more, you can pay for the Telephone Support Contract that provides technical and bookkeeping advice during office hours, up to a set time limit for calls.
Business Accountz is a solid package but the lack of cloud-based integration makes it more problematic to use for a small business.
